Data protection notice on the processing of personal data related to the proposal submission platform positron:s for the JPI More Years, Better Life call “Labour force shortages within long-term care and health care”.

Protecting your privacy is of the utmost importance to us. The JPI More Years, Better Life call secretariat is committed to respecting and protecting your personal data and ensuring your rights as a data subject. All data of a personal nature that identifies you directly or indirectly will be handled fairly, lawfully and with due care.

This processing operation is subject to Regulation (EU) 2018/1725 of the European Parliament and of the Council of 23 October 2018 on the protection of natural persons with regard to the processing of personal data by the Union institutions, bodies, offices and agencies and on the free movement of such data, and repealing Regulation (EC) No 45/2001 and Decision No 1247/2002/EC.

1. Who is responsible for processing the data?

The organizations forming the JPI More Years, Better Life Call “Labour force shortages within long-term care and health care” (hereafter "the Secretariat") are joint controllers of the processing operation of personal data. You can contact the controller via the organisation in your country.

2. What is your data processed for

Your data is used to:

  • register you on the submission platform
  • follow up on your project proposal submission
  • conduct national eligibility checks
  • review your project proposal submission
  • enable rebuttal from your side after review
  • hold a panel meeting on your project proposal submission
  • select project proposals for funding
  • enable national funding applications
  • serve as basis for individual national funding applications
  • communicate funding decisions

The personal and contact data of all applicants (which includes the consortium coordinator as well as all project partners) are processed.

5. How do we use your data?

Your data is collected, processed and stored in the following way:

  • Personal and contact data entered on the platform including uploaded documents are stored on VDI/VDE-IT servers in Germany
  • Contact data as well as uploaded documents are forwarded to national funding agencies of the participating countries
  • Based on national requirements each funding agency checks for the partners from their country whether they are eligible for the call
  • Uploaded documents are provided to reviewers who check for conflicts of interest and evaluate scientific quality of the proposal
  • Uploaded documents are provided to panelists who evaluate the scientific quality of the proposal as well as the rebuttals
  • Contact data and funding decision is shared with funding agencies
  • Project title and affiliation of all project partners of funded projects are published on JPI More Years, Better Life website and in funding databases

6. Who has access to your personal data and to whom is it disclosed?

From registration on the platform until the projects start your personal data is only accessible to the Secretariat, VDI/VDE-IT and reviewers and panelists involved in the reviewing and rebuttal process, as well as the funding agencies participating in the call. Personal data is not used for any other purposes or disclosed to any other recipient nor third parties.

In case of a funding commitment, the data provided may be disclosed to national supervisory bodies of the participating countries. Additionally, the project title and affiliation of project partners is published on the JPI More Years, Better Life website and in the national funding databases of participating countries. Thus, the general public will have access to these data.

7. How do we protect and safeguard your information?

We take appropriate technical and organisational measures to safeguard and protect your personal data from accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access.

All personal data related to the projects’ procedures is stored in secure IT applications according to the projects’ quality management and data security standards, as well as in specific electronic folders accessible to authorised recipients only. Appropriate levels of access are granted individually only to the abovementioned recipients.

8. What rights do you have and how can you exercise them?

You have the following rights with respect to your personal data that relates to you:

  • Right of access by the data subject, Article 15 GDPR
  • Right to rectification, Article 16 GDPR
  • Right to erasure, Article 17 GDPR
  • Right to restriction of processing, Article 18 GDPR
  • Right to object to collection, processing and/or use, Article 21 GDPR
  • Right to data portability, Article 20 GDPR
  • If personal data is processed on the basis of data subject’s consent (Article 6(1)(a) GDPR), data subject can withdraw consent at any time for the purpose in question, with withdrawal taking future effect. Processing undertaken on the basis of the consent until it is withdrawn remains lawful and is unaffected by the withdrawal.

9. What is the legal basis for processing your data?

Personal data is processed in accordance with Article 5(1)(a) of Regulation (EU) 2018/1725, which states that ‘processing is necessary for the performance of a task carried out in the public interest’ as well as Article 6 (1) (e) GDPR.

10. How long can data be kept?

Personal data will be kept only for the time needed to achieve the purpose for which it is processed.

In case of the data stored on VDI/VDE-IT servers related to the submission platform the data will be deleted after the projects start.
For the personal data that is forwarded to national funding agencies and as a consequence of which is held and administered by national funding agencies and JPI More Years, Better Life the personal data will be stored for up to 20 years after projects ended.

In the event of a formal appeal, all data held at the time of the appeal will be retained until the completion of the appeal process.
